AXECO processes personal data in the course of its activities. The protection of personal data is of great importance to AXECO. This statement provides further information on how AXECO addresses this.
Personal data is information that can identify a natural person (such as name, address and telephone number) or that can be traced back to a natural person (such as a vehicle registration number).
AXECO processes personal data for various purposes and on the basis of various legal grounds.
Clients
AXECO generally receives personal data of clients from the clients themselves, but may also obtain it from sources such as the Trade Register, BKR and public media. Legal grounds for processing are:
Agreement
AXECO processes personal data for the purpose of performing an agreement with the client. This includes entering into the agreement as well as maintaining contact with the client. This involves not only the processing of the client's own data, but also the data of, for example, contact persons.
Legal obligation
In order to comply with statutory obligations arising from, for example, anti-money laundering laws and regulations, AXECO processes certain personal data of clients and – in the case of legal entities – also, for example, of their shareholders, directors, UBOs or representatives. In addition, AXECO is obliged to carry out fraud prevention activities and may also process data for that purpose.
Candidates, applicants and employees
AXECO receives and processes personal data of candidates, applicants and employees. This data is generally obtained from the individuals themselves. When screening candidates, AXECO may use publicly available sources or process information provided by their referees. Legal grounds for processing are:
Agreement
AXECO processes personal data of candidates and applicants for the purpose of assessing whether the person is a suitable fit for the organisation, as well as to maintain contact with that person. When a person is an employee of AXECO, personal data is processed for the purpose of entering into and maintaining an employment relationship, and for maintaining personnel, financial, hours, absence and/or payroll records, as well as to grant the employee access to and use of the AXECO office and IT infrastructure.
Legal obligation
AXECO also processes personal data in order to comply with statutory obligations that apply to AXECO as an employer, such as passing data on to the Tax and Customs Administration (Belastingdienst) and to the Employee Insurance Agency (UWV).
Consent
AXECO processes personal data of applicants on the basis of their consent. This occurs, for example, when AXECO receives an unsolicited application and asks the applicant whether their data may be retained – for instance, because there is currently no vacancy but the applicant's CV is of interest to keep on file in case a position becomes available.
Website visitors
By means of cookies, AXECO stores certain non-identifiable automated information about users of the website. For this purpose, AXECO applies a cookie policy.
Personal data is not retained for longer than is strictly necessary to fulfil the purposes for which your data is collected. Where this follows from a statutory obligation, the applicable law determines the retention period. For tax-related matters, this is 7 years after the termination of the agreement.
This only occurs for the performance and execution of an agreement with you (for example, in the context of an employment agreement, with the party that processes our payroll administration), to comply with a statutory obligation (such as reporting unusual transactions), or where you have given your consent. Personal data is not disclosed to third parties for commercial purposes.
Data processing agreements are concluded with companies that process personal data on behalf of AXECO, in order to ensure the same level of security and confidentiality of your data. AXECO is responsible for these processing activities.
Should it be necessary, for the provision of services to you or the performance of our agreement with you, to transfer personal data to parties outside the EEA, we will only do so if an adequate level of protection of the personal data is ensured or if a specific derogation applies.
AXECO takes the protection of your personal data extremely seriously and has taken appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification of your personal data.
AXECO does not use automated decision-making.
You have the right to access, correct or delete your own personal data. In addition, you have the right to withdraw any consent given for the processing of your data, to object to the processing of your personal data by AXECO, and you have the right to data portability.
You may submit a request for access, correction, deletion, data portability of your personal data, or a request to withdraw consent or object to the processing of your personal data, to: info@axeco.nl. We may ask you to provide a copy of a valid identity document in order to verify that the request is being made by or on your behalf. We will respond to your request as soon as possible and in any event within one month.
